Solution Documentation Assistance (SoDocA) in SAP Solution Manager

To support complex SAP Solutions and critical processes, it is absolute necessary to identify, map and document up-to-date information on System Landscape, Business Processes, Components, Interfaces, Custom Code and Partner Solutions. SoDocA Advantages and Key Features:
1. You can access the SoDocA through User friendly interface called workcenters. It can be displayed in SAP GUI, Web browser or Business Client.
2.If all the SAP systems of Customer are connected to SAP Solution Manager, SoDocA will be your trusted Single Source to gather and analyze the usage data
3. It will speed up the process of gathering requirements and developing Business blueprint
4. If your business processes are in your existing Solution Directory or the implementation projects are from SAP Solution Manager's Business Process Repository, it automatically map to those object provided remote systems are connected successfully.
5. Based on filtered rules, Analysis Project produces a report on standard and customer objects usage history and enable us to even identify and eliminate the obsolete objects
6. SAP Solution Manager EhP1, you can also analyse the SQL statements and BADIs.
7. Based on usage analysis you create can Business Blueprint which is fully mapped to your Solution Landscape. And you can use to define new Implementation or Upgrade Projects or setup critical Business Process and Interface Monitoring.
8. In SAP Solution Manager EhP1, you can also upload and download SoDocA content between different SAP Solution Managers.

Important Prerequisite Information:
1. In SAP Solution Manager all systems landscape information need to be up-to-date with successful RFC connections and running Early Watch Alerts for SoDocA analysis.
2.To gather usage history of your critical Business processes and other objects, SoDocA has to be setup well in advance. SoDocA requires minimum of one month data
3. You have latest SAP Solution Manager version and managed systems with latest version of SAP component ST-PI (For more information check the Service Marketplace)

SAP Solution Manager is a Software Life Cycle management tool and is based on the ITIL standards. Most of the SAP’s recommended best practices can be implemented using SAP Solution Manager. ‘Business Process and Interface Monitoring’ is one of the SAP’s recommended standards. Change Request Management (ChaRM):
Bringing software and configuration changes or implementing new functionality to meet business demands has been a very big challenge to Management, Business, Technical, QA and Support Teams. There are many companies out there who still use phones, spreadsheets and emails to communicate, document change requests, implementation and approve. This is very laborious, time consuming, costly and scary affair. SAP Solution Manager provides SAP’s recommended best standard called Change Request Management (ChaRM) in SAP Solution Manager which is built based on ITIL standards.
ChaRM contains 3 tiers -Management and Implementation, Change logistic. It involves bringing SAP (ABAP) and non-SAP (Java) changes in the production system with transparency, documentation, Workflow approval and security.
Change Request Management (ChaRM) can be used for Business Process changes, Implementation, Upgrade and Maintenance Projects.ChaRM includes Regular or Normal Corrections, Urgent Corrections and Administrative changes.

Change Request Management Work Flow:
SAP Solution Manager provides workflow to create change request, classify/escalate, approve, authorize, build, test, deploy changes and review post-implementation. It has integration with TMS functionality. Thus, any changes that brings into the production system will have complete transparency through document tracking, security and accountability.

Security Roles and Authorization:
Requester: Creates Service Tickets and Change Requets
Service Desk Employee: Receives Service Tickets and Change Requests
Change Manager: Reviewes all Change Requests and catagoried and approve the Change Requests
Change Advisory Board: Steering Committe in the Change Management Process
Developer: Implements the changes and forward to Tester
Tester: Tests the changes and confirms the status
IT Operator: Imports changes in productions when satisfied with QA, training and well documentation.

Every company has specific requirements. Therefore, SAP delivered roles need to be copied and modified. Additional workcenter roles are also provided with SAP Solution Manager 7.0 SP 15, these roles need to be added if workcenter is setup. SAP recommends to use workcenter for every scenario in SAP Solution Manager including ChaRM.

SAP_CM_CHANGE_MANAGER_COMP - Approving or rejecting change requests.
SAP_CM_DEVELOPER_COMP - Corrections in the development system; Corrections in the maintenance and development systems
SAP_CM_TESTER_COMP - Testing corrections in the test system¸ Testing and validating corrections
SAP_CM_OPERATOR_COMP - Import corrections into the production system; Task lists
SAP_CM_PRODUCTION MANAGER_COMP - Import corrections into the production system; Approve imports into the production systems
SAP_SOCM_REQUESTER - Create change requests
SAP_CM_ADMINISTRATOR_COMP - Customize and check Change Request Management functions; Administrative and technical maintenance; The task list administrator in Change Request Management deals with the administrative and technical side of maintenance cycles and urgent corrections; in particular, the Schedule Manager task lists.
Work Center role for Change Request Management:

1. Service Desk functionality in SAP Solution Manager :

In today's challenging business and complex applications environment, companies have to bear significant cost of IT Operations in order to make sure all the end users problems are directed to responsible Support Team, and get resolved in time with least impact on business. SAP has Service Desk tool to minimize your IT Operation coast. It is well integrated with customer's SAP and non-SAP landscape. The moment end user encounter problem in SAP system, right from any transaction they are in, they can send problem messages to responsible support team by just clicking with mouse on SAP logo or selecting 'Create Support Message' option from Help Menu. Plus it has seamless integration with Business Process Monitoring, Change Request Management, SAP Service Market Place and SAP Support.

SAP Service Desk is a Trouble Ticket System. It is based on the CRM 5.0. User can able to create messages right from SAP application or from Web interface, Workcenter or by calling or emailing to Support Desk Team. When end users send messages from the SAP GUI, users have to just enter short text and description of problem. It automatically gathers all the system information like the Support Pack, SystemID, ClientID, Component, Maintenance number and UserID so on.

Based on the Support Team defined, the support messages are routed to responsible Support Team members, processor search the resolution within the internal database and the processor process the message and closed the message. If processor needs to investigate further, he/she can connect directly to SAP Portal to search SAP Notes. If still not resolved, same problem messages can be send to SAP Support. When SAP Support sends the solution, it gets updated in Service Desk automatically and support team can verify the status within the Service Desk

Service Desk can also be integrated with other 3^rd party tools through web services and data is bi-directional. If the customer wants to use Service Desk functionality of SAP Solution Manager to process non-SAP application messages, they need to apply for extended license.

The advantages of having Service Desk:

End User can create messages right from any transaction they are in by just double clicking on the SAP Logo or from Help Menu and it gathers all the context data automatically which is very important when it gets processed by Support Team or when the same problem messages is sent to SAP Support.
You can integrate with Business Process Monitoring.
You can integrate with Change Request Management.
Get notification from SAP Support automatically
Escalation Procedures and Server Level Reporting.
Bi-directional integration with external Help Desk through web services.

2. Incident Management (Workcenter) in SAP Solution Manager:

Incident Management (Workcenter) is a user friendly web enabled interface for problem Reporter and Support Team Processor to access the Support Desk functionality of SAP Solution Manager. SAP recommends to use the Incident Management Workcenter.

Thus, Service Desk functionality of SAP Solution Manager in now accessible from the Incident Management Workcenter to create, view and reply Trouble Ticket Messages by end user and to process Help Desk Tickets by the Support Team.

3. Security Roles & Authorization:

SAP Security guide provides following authorization roles. Every client has specific security roles. SAP recommends to first copy these roles and modify them to meet clients specific requirements.

SAP_SUPPDESK_CREATE (Remote SAP System end user do not need this role)

SAP_SUPPDESK_PROCESS

SAP_SUPPDESK_ADMIN

SAP_SUPPDESK_DISPLAY

In addition to regular authorization, following are extra authorization roles required for Service Desk WorkCenter

SAP_SMWORK_BASIC (basic role for workcenter)

SAP_SMWORK_INCIDENT_MAN (Service Desk workcenter)

4. Main elements of Service Desk customizing:

The main elements of Service Desk customizing are SLFN (Transaction Type), Text Schema, Partner Schema, Action Profile and Organizational model.
SLFN is the main Transaction Type. Text Schema is mapped to Text Objects and assigned to SLFN. (Make sure to copy the Y or zSLFN and then start configuring)
Partner Schema determines the business partner using business partner functions. Business partners are Sold-to-Party (Customer who pay the bill), End Users(Message Creator) , Processors (Support Team Member) and Support Team.
Communication between the CRM service Transaction and basis message is controlled by Action Profile.
Organization Model is functional Structure of Support Team (firm)
